Privacy Policy

VoiceScout is operated by Home Service AI LLC ("VoiceScout," "we," "us"). VoiceScout provides AI voice agents, text messaging and direct mail for home-service businesses. This policy explains what we collect, how we use it, and the choices you have. It covers three groups of people:

  • Business customers, companies that use VoiceScout to answer their calls and texts, book appointments and run mail campaigns, including anyone on their team who logs in or connects an account such as Google Calendar.
  • Homeowners and mail recipients, people who call or text a business that uses VoiceScout, or who receive a postcard and scan its QR code or talk to a voice agent.
  • Website visitors, people who browse voicescout.ai or sign up for our email updates.

1. If you received a postcard or called a business

Where your information came from

If you received a postcard, the business that mailed you provided or licensed your name and mailing address, the same way traditional direct mail works. If you called or texted a business, the information comes from that conversation. VoiceScout processes that information on the business's behalf to print and deliver the mail piece and to answer the call or message.

What we collect if you scan, call or text

  • Page visits. When you scan the QR code we record that the piece was scanned, along with basic technical data (IP address, browser type) used for security and rate limiting. The business that mailed you can see that their card was scanned.
  • Voice conversations. If you choose to talk to the agent, the conversation is recorded and transcribed. The agent tells you this at the start of every conversation. If you don't want to be recorded, simply don't continue the call.
  • What you share. Anything you tell the agent, like a phone number, an address or a preferred appointment time, is captured so the business can follow up.

How it's used

Transcripts, summaries, and booking details are delivered to the business you contacted, or that mailed you, so they can respond to your request. If you book an appointment and that business has connected its calendar, the appointment (your name, phone number, service address, the time and what the visit is for) is added to the business's calendar, which may be hosted by a provider such as Google. We also use conversation data to operate, secure, and improve the Service. We do not sell your personal information.

Your choices

  • To stop receiving VoiceScout mail, use our mail preferences form. It takes an address and nothing else, and we take that address off future mailings sent through us. You can also email hello@voicescout.ai with your address and it goes on the same list. Allow up to two weeks for mail that has already been printed. To stop mail a business sends through some other vendor, you have to ask that business directly.
  • To request a copy or deletion of conversation data, email hello@voicescout.ai. We'll verify the request and coordinate with the business where required.

2. If you're a business customer

We collect the information you give us to run the Service: contact and login details for you and your team, business information for your voice agent (services, pricing ranges, hours, who calls get put through to), your customer and mailing lists, payment details (handled by our payment processor; we do not store full card numbers), and the settings for any account you connect, such as a calendar or a field service tool. We use it to operate the Service, deliver leads and bookings to you, bill you, and support you. Your customer and mailing lists are used only to run your campaigns and follow-up: never sold, never used to market to your list on anyone else's behalf.

3. If you connect Google Calendar

Connecting Google Calendar is optional. It lets your VoiceScout voice agent offer callers times when you are actually free, and put the appointments it books straight onto your calendar. Nothing is read from or written to your Google account until you choose Connect Google Calendar in your VoiceScout account and approve access on Google's own permission screen.

What we access

  • Your availability. The busy and free times on the calendar you choose to connect. We do not read the titles, descriptions, locations or guest lists of events that VoiceScout did not create.
  • The events VoiceScout creates. When the agent books an appointment, we create an event on the connected calendar with the customer's name, phone number, service address, the time and a short note on what the visit is for. We keep the event's ID so we can update or cancel that event if the booking changes.
  • Your Google account email address, so your VoiceScout account can show which Google account is connected.
  • The access credential Google issues. We store the token Google gives us so the connection keeps working without asking you to sign in on every call.

How we use it

Only to provide the booking features you can see in VoiceScout: checking your availability while a caller is on the phone or texting, offering open times, and adding, moving or cancelling the appointments VoiceScout booked. We never change or delete an event VoiceScout did not create.

We do not use Google user data for advertising, we do not sell it, we do not transfer it to data brokers or information resellers, and we do not use it to decide creditworthiness or for lending. We do not use Google user data, or anything derived from it, to develop, train or improve artificial intelligence or machine learning models, ours or anyone else's.

Who we share it with

Google user data is shared only as needed to run the booking feature for you:

  • The caller hears or reads the open times the agent offers, and the booked time.
  • The AI providers that run the conversation (listed in section 5) receive the open times the agent may offer a caller, so the agent can offer them. They process it only to run that conversation, under terms that do not allow them to train their models on it. Our phone and text carrier delivers those times to the caller.
  • Our hosting and database providers store the connection and booking records on our behalf.
  • Your own team sees the bookings in your VoiceScout account.

We may also disclose it where the law requires, to investigate security issues or abuse, or as part of a merger or sale of our business, and in that last case only after asking for your explicit consent. People at VoiceScout do not look at your Google Calendar data unless you ask us to (for example in a support request), it is needed for security or to investigate abuse, or the law requires it.

How we protect it

Google data travels over encrypted connections (HTTPS/TLS). The access tokens Google issues are encrypted before we store them, and access to production systems is limited to the few people who operate the Service.

How long we keep it, and how to delete it

  • We do not copy your calendar's availability into our database; it is checked when a caller needs a time. The times the agent actually offers or books become part of that conversation's record, which is kept under section 6.
  • You can disconnect at any time from your VoiceScout account settings, or from your Google account at myaccount.google.com/permissions. When you disconnect in VoiceScout, we revoke our access with Google and delete the stored tokens and your connected Google account details straight away.
  • The appointment records in VoiceScout stay with your account under section 6. Events already added to your Google Calendar stay there, because they are yours; we stop changing them once you disconnect.
  • When your VoiceScout account is closed, or you ask us at hello@voicescout.ai, we delete the Google data we hold within 30 days.

Google's Limited Use requirements

VoiceScout's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

4. If you sign up for our email updates

If you enter your email in the "Stay in the loop" box on our website, we store that address and use it only to send you VoiceScout tips and product news. We don't sell it or share it for anyone else's marketing. Every email we send includes an unsubscribe link, and you can also opt out anytime by writing to hello@voicescout.ai, and we'll remove you promptly.

We share data with the vendors that make the Service work, only as needed to operate it:

Each provider is bound by its own contractual and privacy obligations. We may also disclose information if required by law, or as part of a business transaction like a merger, with notice where required. Google user data is shared only as section 3 describes.

6. Retention

We keep campaign records, lead data, bookings, and the written record of conversations for as long as the related business account is active, so businesses can review their history. We delete or de-identify data when it’s no longer needed, and honor verified deletion requests as described above. Google Calendar data follows the shorter rules in section 3.

Recordings of conversations with the AI agent are different, and are capped. Audio of a phone call or a browser conversation with the agent is deleted 365 days after the call, automatically, by the platform that stores it. That limit is set on the voice agent itself rather than being a promise we have to remember to keep, and it applies to every agent we run. We do not extend it for individual accounts.

When the agent puts a call through to someone at the business, our phone carrier records the rest of that call, and the caller has already been told the call is recorded. Those recordings are not yet covered by the automatic 365-day limit. They are kept while the business account is active, and we delete them on request.

A written summary and transcript of the call may be kept for longer, under the first paragraph above: a business needs to be able to look back at what a customer asked for. If you would rather the audio of your own call were deleted sooner than that, write to us and we will remove it.

We do not create or store a voiceprint, and we do not use recordings to identify anyone by their voice.

7. Text messages

Some businesses use VoiceScout to reply to text messages sent to their business number, and to send a confirmation after an appointment request.

What we collect. Your mobile number, the content of messages you exchange with the business, and the times they were sent and delivered. Carriers also report delivery status back to us.

Consent. We text you when you have texted the business first, or when you have given the business your number and asked to be contacted, for example by asking for an estimate. We do not buy phone numbers, and a mailing list does not put you on a texting list: the addresses used for postcards carry no phone numbers at all.

Stopping. Reply STOP to any message and that business stops texting you. Reply HELP for contact details. Message and data rates may apply, and message frequency varies with the conversation.

No marketing without permission. We do not send promotional texts unless you have specifically agreed to receive them. Replies about a job you asked about, and confirmations of an appointment you requested, are not marketing.

Texts are carried by our telecoms provider (see “Service providers we rely on”). We do not sell or share your number with anyone outside the business you contacted and the providers who deliver the message.

8. Security

Data is encrypted in transit, access to production systems is restricted and password-protected. The public voicescout.ai website sets no cookies; the customer account uses one cookie to keep you logged in. No system is perfectly secure, but if we learn of a breach affecting your personal information we'll notify affected parties as the law requires.

9. Your privacy rights

Depending on where you live (for example, California), you may have rights to access, correct, or delete personal information, and to be free from discrimination for exercising those rights. Email hello@voicescout.ai and we'll honor the rights that apply to you. We do not sell or share personal information for cross-context behavioral advertising.

10. Children

The Service is for businesses and homeowners. It isn't directed to children under 13, and we don't knowingly collect their information.

11. Changes to this policy

If we make material changes, including any change to how we use Google user data, we'll update the date at the top and notify business customers by email or in the dashboard before the changes take effect. We will not use Google user data in a new way without asking for your consent first.
